Schedules and reports
My workspace at /portal/ for everyone who is not an administrator, the Schedules & reports page with each person's reports, schedules and live links, and the Everyone view where administrators manage people's schedules and company links.
/portal/ is the same address for every signed-in person. People who manage access get the Console. Everyone else gets My workspace, with their own Schedules & reports, Connections and Agents. Administrators find the same page in the Console under You, Schedules, with an extra Everyone view of the agents they manage.
When to use this
Use Schedules & reports to find the reports you may run, read the answers and files from your recent requests, and pause, edit or stop the schedules you saved in chat. Administrators use Everyone to see who scheduled which report on an agent and what it costs, to pause or stop a schedule, and to manage company links to live reports.
The reports themselves come from code workflows that the hub's builder offers in chat. How a workflow becomes a report people can run (as_tool=True) or schedule (schedulable=True), and how it publishes a live report, is covered in Code workflows.
Open it
| From | How |
|---|---|
| The web app | The account menu, My workspace (/portal/#/schedules) |
| Open WebUI mode | The sidebar link My workspace, or Admin Console for administrators |
| The Console | The sidebar, You, Schedules |
| Chat | The agent links it when you ask about your schedules |
My workspace has its own top bar: My workspace, Back to chat, your email, the theme switch and Sign out. Its tabs:
| Tab | Contents |
|---|---|
| Schedules & reports | Your reports, requests, schedules and report links on every agent, described below |
| Connections | The apps you have connected or may connect for the agents to use as you. Shown when there is something to connect. In the web app it opens the chat app's Connections page |
| Agents | The agents you can use, each with Open chat |
A blocked person sees "Your access is blocked. Contact your administrator." above an empty page.
Your schedules and reports
Yours shows what belongs to you, on every agent. Refresh reloads it, and the page also refreshes itself every ten seconds while it is open. Results appear here and in chat. Email is sent only when the hub turns it on.
| Section | What it holds |
|---|---|
| Reports you can run | The reports the agents offer you with your current access. Each shows its agent, Run once or Run once or schedule, the request to copy into chat ("Run … for me"), its inputs and Open chat |
| Recent requests | Your recent one-off reports and answers, with their status, report links, the answer and a run reference, including work that kept going after chat stopped waiting. With several agents, choose one |
| Schedules | The schedules you saved in chat: their state, report and inputs, when they run and in which time zone, the next run and the last result |
| Reports | Your own report links. Each link always shows the newest copy, with when it was updated, Live, Last update failed or No longer updating, and whether a company link is on |
A report appears under Reports you can run when you hold Use this agent and the report's Run capability on the agent's Access tab. Run once or schedule also needs Schedule reports for themselves and a workflow that allows personal schedules. To save a schedule, ask in chat, for example "run this report for me every Monday at 9". The agent shows what will run, as whom and when, and saves it only after you agree.
Manage a schedule
| Control | What it does |
|---|---|
| Edit | Changes the cadence, such as "every monday at 09:00", the time zone and the saved inputs. Changes apply to future runs. A run in progress keeps its inputs, and a paused schedule stays paused |
| Pause, Resume | Stops and restarts the schedule. A schedule an administrator paused can be resumed only by an administrator |
| Run now | In the … menu. Starts a run at once, as you |
| Stop | In the … menu, after a confirmation. The schedule never runs again, and its live link keeps the last copy |
Select a schedule's name for its latest runs, each with a status, a run reference and timing, and a recovery suggestion after a failure. Every schedule runs as its owner, with their access at the time. The state tells you where it stands, for example Active, First run in progress, Paused by owner, Paused by admin, Paused after failures, Paused: access changed or Stopped. A schedule pauses itself after repeated failures, and when your access or its inputs change. Pausing, resuming, running and stopping are recorded in Activity.
Everyone's schedules and live reports
Administrators choose Everyone at the top of the page, then an agent. Organization administrators can pick any agent, and agent administrators the agents they manage.
People's schedules lists every person's schedule on that agent, with how many are active.
| Column | Contents |
|---|---|
| Person | Whose schedule it is. Each schedule runs as that person |
| Schedule | Its name and state |
| Report | The report and its inputs |
| When | The cadence and its time zone |
| Next run, Last result | When it runs next and how the last run went |
| 30-day cost | The model cost of its runs in the last 30 days |
Administrators can Pause a schedule and Stop it, after a confirmation. The person sees that an administrator stopped or paused it. An administrator resumes only what an administrator paused, and the owner resumes every other pause. Selecting a schedule shows its latest runs with their status and times. Administrators never see the report contents a person's schedule produces.
Live reports appears when the agent publishes reports with a live link. Each live link always shows the newest copy of its report: a team report written by the agent's own runs, or a personal report that belongs to one person.

| Column | Contents |
|---|---|
| Report | Its title and key |
| Kind | Team, or Personal with its owner |
| Updated | When it last changed, and Live, Last update failed or No longer updating |
| Company link | Copy for a team report's company link, with Replace link and Turn off link in the menu. A personal report's link can only be turned off. Make a link creates a new company link after one was turned off |
Company links
A company link lets anyone at your company's email domain open a report after signing in, without access to the agent. They get a reader-only account, shown as Reader under People, that opens company links and reports shared with it, nothing else. A tag above the table says Company links on for your domains, or Company links off with the reason.
Company links need, for the deployment:
HUBZOID_SHARE_DOMAINS=example.com # who may open company links
OAUTH_ALLOWED_DOMAINS=example.com # each share domain, listed explicitly
ENABLE_OAUTH_SIGNUP=true # readers get an account on first visitand company sign-in with Google, Microsoft or OpenID Connect (see Authentication). The workflow or person that publishes a report with a company link needs Share reports with the company domain. Taking that capability away, or turning a link off, stops the link at once. A link an administrator turns off stays off until someone makes a new one here. Replace link stops the current link and makes a new one to share. An agent that an old "Everyone signed in" grant opens cannot have company links. Give people access by name first.
